We help individuals and organizations leave a lasting legacy in Kawartha Lakes through strategic philanthropy and impactful grant making. Last year, we facilitated over $341K in community initiatives, funding programs supporting food security, arts & culture, the environment, health, homelessness and more. We are seeking an Office & Grants Administrator to support our expanding operations. Reporting to the Executive Director, this professional will be responsible for office administration, managing grant programs, and light financial duties.
Position Details:
Part-time: 20 - 24 hours/week (flexible schedule, in-person)
Hourly Wage: $25/hour
Contract: 4 – 6 months, starting mid-April or sooner pending candidate, (potential for extension based on funding and organizational needs)

Key Responsibilities:
Grant Administration:
Develop and distribute communications for granting programs and manage inquiries.
Receive and assess grant applications, preparing materials for committee review.
Communicate grant decisions, coordinate agreements, and distribute grants.
Monitor and assess project completion reports, providing recommendations for program improvements.
Organize site visits with grantees, capturing success stories for print, website, and social media.
Office Administration & Donor Support:
Manage general office operations, including communications and meeting bookings.
Maintain donor records and issue tax receipts for non-digital donations via Canada Helps.
Support donor engagement through database management and thank-you communications.
Update and maintain contact lists, distribute newsletters, and draft donor/fund statements.
Maintain accurate records for Board and Committee minutes, financial records, and grant files.
Provide administrative support for Board and Committee meetings, including agenda preparation and minute-taking.
Community Engagement & Communications:
Support donor engagement and communication.
Assist with social media engagement, content creation, and website updates (Squarespace experience is a plus!).
Support organizational content development and storytelling related to major projects, granting opportunities and FAQs.
Lead volunteer recruitment – developing communications, finding volunteers, screen applicants and match to volunteer opportunities.
Review and optimize organizational profile across various digital platforms.
Utilize digital tools (Canva, Squarespace, Canada Helps and web blogging) to share CFKL’s impact stories.
Who We’re Looking For:
Key Competencies & Skills:
Excellent planning, administrative, and organizational skills.
Self-starter with the ability to work independently.
Excellent verbal, written, and interpersonal communication skills.
Proficiency in MS Office (Word, Outlook, Excel, Teams) and appointment scheduling software.
Experience with donor databases (e.g., Canada Helps) and nonprofit administration is a plus.
Familiarity with basic financial tracking or bookkeeping is preferred.
Digitally confident, with experience using Canva, Squarespace, or other web tools
Experience in nonprofit management or grant administration is an asset.
Local candidates preferred - knowledge of Kawartha Lakes area, charities & businesses required
